Balance as of 3/31/06 is $40549.11.
The
$500 contribution to Poplarville Mississippi Chamber of Commerce was given in
the past month. This was a donation in light of Hurricane Katrina.

Committee

There
will be a charity tournament to benefit the Jeremy Foundation and the Erik Lerch
Foundation. This will be 6/8 starting at 8am.

Commissioner Debate
Until
Plan 1 is official, this is on hold. As soon as everything is finalized, Tim
will begin planning on the debate.

Upcoming events were put out to the e-mail list, and are also available on the
website.
Ambassadors
Immediately following today’s meeting, there will be a new member orientation –
please join us. The
Ambassador’s committee has been working on a folder for the Chamber. The
recommendation is for the folder to be done by Valley Graphics. The interior
will hold information sheets, created and printed by Keir Knight, Plain English
Writing & Design, featuring Committee information, Calendar of Events,
Officers/contact info, and a membership application form. Costs
involved to create 1000 folders:Folder

Rogers moved to approve the printing, Howard LeRoux seconded. Clarification –
Tim Barkley clarified that we are approving the production of the folders for
"around" $1224 (price may fluctuate a little bit depending on design time
involved). Jim Jones asked for a description again of the interior sheets.

Professional Development
3rd workshop is coming up on Guerilla Marketing. Info is on the website.
Advertising & Marketing
Keir
passed around a binder of recent advertising and article coverage. Send
Keir your profile for the website if you haven’t already. Keir
is looking for sponsors for the website – if you are interested, let him know.Keir
had signs made up for expos and fairs – one for the chamber and one for the
phone book. There will be a meeting on 4/13 between the 4 newspaper reps and
Keir so we can come up with a plan for group advertising.
Tim
and Carol mentioned a thank you to Keir for all of the work that he has put in
on the website.
Business
Fair
Ellie
has lined up some family entertainment. There will be a face painter, a dance
company, K9 Dog demonstration, gymnastics, and karate demonstrations.The
committee has decided to spend up to $2,500 to help MAYAA with their
new field usage fees. For every dollar donated by visitors to the
Fair, the Chamber will add a matching amount - up to a total of
$2,500. The goal is to raise $5,000 - the full amount needed by MAYAA - with
half the money coming from visitors and half from the Chamber. The
Chamber money will come from the Business Fair budget - not from
general funds.The
Fair will be 4/29 at the Carnival grounds. All tables are sold.Steve
Rose needs help passing out brochures and posters. If you would like to
volunteer to help, let him know. Archie
wanted to clarify that in Denny’s budget, the business fair money shown is all
committed.
Volunteers are still needed to help with set up on Friday and Saturday.Howard
needs to know by the 15th how much space people in the parking lot
will need for their displays.
Committee meeting is next Wed 8am at Burger King.

scoreboard is being delivered, so we are close to installation.

felt that it is important to put some of the policies for things we do into
writing and into place as formal policy and procedures.

Nominating Committee
Members for the nominating committee are needed. Audrey is chair, and will be
stepping down. Keir is the only other current member so more members are needed.
Work on this committee is from Aug- Nov. See Audrey if you are interested.

CHAMBER POLICIES
1.
CHAMBER EXPENDITURES: No amount may be spent or reimbursed without
presentation of a receipt, invoice or written memorandum of expenditure.
2.
COMMITTEE BUDGET EXPENDITURES: Committee chairs may expend amounts budgeted
for that committee or under that committee's control without seeking
membership approval. The membership shall be informed of the expenditure at
the next business meeting, and the expenditure shall be noted in the minutes
of that meeting.
3.
MEMBER EXPENDITURES: No member is expected to make out-of-pocket expenditures
on behalf of the Chamber. Any such expenditure shall normally be reimbursed
following general Chamber expenditure policies. Any member wishing to make an
out-of-pocket expenditure as a donation to the Chamber shall follow customary
expenditure approval procedures and shall receive written acknowledgement from
the Chamber. Members should be advised that such a donation may not be
tax-deductible, as the Chamber is not a charitable organization described
under sections 170(a), 170(c) and 501(c)(3) of the Internal Revenue Code.
4.
MEMBER SERVICES: Professional services provided to the Chamber by a member
will normally be paid for by the appropriate committee. Any member wishing to
make a donation of professional services to the Chamber shall follow customary
approval procedures prior to rendering such services, and shall receive
written acknowledgement from the Chamber. Members should be advised that such
a donation may not be tax-deductible, as the Chamber is not a charitable
organization described under sections 170(a), 170(c) and 501(c)(3) of the
Internal Revenue Code, and donations of professional services are generally
not deductible.
5.
COPIES: Any member making copies for a Chamber function or meeting which
copies are not for any particular committee may be reimbursed in the amount of
twelve cents per copy, for a maximum of twenty dollars per function or meeting
and fifty dollars per member per year, out of the general administrative
budget without vote of the membership.
6.
CHAMBER CHARITABLE DONATIONS: Charitable donation requests shall be made in
writing to the Finance Committee, following that committee’s procedure and
using the appropriate forms. All donation requests must be sponsored by a
Chamber member. The Finance Committee shall bring its recommendation to the
Executive Committee, which shall in turn recommend its determination to the
Chamber membership. Unless a Chamber member calls for a vote at the time of
receiving the Executive Committee’s report, the Executive Committee’s
recommendation shall be final. A majority vote of the Chamber membership in
attendance at a business meeting of the Chamber may override the
recommendation of the Executive Committee.
7.
COMMITTEE MEMBERSHIP: Committee members are volunteers who have expressed an
interest in assisting the committee chair in the performance of the tasks of
that committee. Committee chairs may call for a vote on matters that appear
before the committee, but need not do so, and no committee member shall have a
vested right in a vote being taken or adhered to. Committee chairs are
answerable to the Chamber President in the discharge of their duties.
8.
GRIEVANCE POLICY: Any Chamber member with a concern or grievance shall voice
his or her issues to the relevant committee chair if the issue involves a
committee or to a Chamber officer if the matter cannot be brought to the
attention of a committee chair. If the matter is not resolved, it shall be
brought to the attention of the Chamber President. If the matter is still not
resolved, it shall be brought to the attention of the Chamber membership for a
vote at a business meeting.
9.
OFFICER PRIZES: No officer of the Chamber is eligible to win a door prize or
other drawing from the Chamber during that officer’s tenure in office.
